productionI was talking to a colleague recently when she asked me, "How do you get it all done? You are so organized!"

The truth is I have a very limited amount of time during which I can work with my clients, and work on my business. The time I do have, I protect closely, and really focus on what it is I need to do. During this time I won't let myself get distracted by going off and reading emails, becoming involved in discussion groups or even running personal errands.

I also have one day a week that I set aside for business development and marketing activities such as developing info products, writing my newsletter, submitting articles or my own administrative work.

Here's how you, too, can protect and utilize your time more wisely:

  1. Let go of your emails. Emails are a huge time drain for the solopreneur, so rather than spend time checking them yourself, ask your Virtual Assistant if this is something you can delegate. This can be easily achieved by utilizing the forward mail feature in your email hosting account.

  2. Delegate your scheduling. Utilizing the latest online collaboration software will allow you to work more efficiently with your Virtual Assistant, who can then liaise more directly with your clients, make and confirm appointments, and enter them into one central, shared online location. All you need to do is check your appointments at the end of the day to see what's been scheduled.

  3. Don't get distracted by a ringing phone. If you get a phone call at an "unscheduled" time, let it go to Voicemail, particularly if you're in the middle of working on something. Phone calls can be so distracting, and once the call is over, it takes time to refocus again.

By really focusing and making the best possible use of the limited time you have available, you can achieve a lot!
